Terms & Conditions

Ordering

All order are placed by contacting White Flamingo either by email white-flamingo@hotmail.co or by completing the contact form on the website.

When placing an order with White Flamingo, the client will be advised of current production times.

When ordering from the House Collections, you will be asked to pay a £100 deposit to secure the booking. The remainder of the invoice will be due before the stationery goes to print. House collections can take around 4-5 weeks. Please see our information sheets regarding the ordering process and what’s included for House Collections.

When placing a Bespoke order, we ask for the full Bespoke Design fee to be paid to secure the booking. The remainder of the invoice will then be due before printing. Bespoke orders take around 9-10 weeks. Please see our information sheets regarding the ordering process and what’s included for Bespoke Collections.

A signed Agreement form is also required to show that you have read these Terms and Conditions along with the FAQs.

If you need your stationery urgently and cannot wait for the suggested deadlines, then please get in touch. An additional fee may be charged which will be 30% of the total cost of your stationery, depending on the arrangements you require.

Once we have received payment and signed Agreement form and booked your order in, customers seeking House Collections will receive an Information Form via email to complete. Those booking a Bespoke order will arrange a consultation during which we will complete the Information form together. Once this is completed, the design and layout process can begin.

We would always recommend that you order 5-10 more invitations then you may require, due to last minute changes to your guest list and to hopefully ensure you have a copy as a memento of your special day.

All prices are subject to change without notice. Once you have confirmed your booking by paying the deposit or Bespoke Design Fee then the price of your items is fixed.

Wording & Proofs

Your pdf proof will be emailed to you. You are required to check wording, layout and spelling. If there are any changes needed, a further two proof’s can be provided if needed. After this, any further amendment and proof will incur a charge of £15.

Samples are included in the Bespoke Collections or can be purchased for the House Collections. Paper copies allow you to be able to feel the materials you will receive along with gaining a better idea of the printed colours, particularly if you are after a specific colour theme.

It is up to you to make sure that the wording on the order is exactly as you would like it to appear. White Flamingo will not be held responsible for any spelling mistakes or other errors. We will not being printing until we have received a signed Proof Agreement Form from you referencing the correct proof to proceed with.

By signing the Proof Agreement Form you accept responsibility for all wording and design features in the proof. If errors are discovered at a later date, we are required to charge for a print order. Amended reprints will be treated as a new order and charged for accordingly. If White Flamingo accepts responsibility for the mistake then the items will be replaced free of charge.

Once you have signed your Proof Agreement Form and paid the final balance your order will be final. Your order will be printed and dispatched within 2 weeks if there are no packaging or finishing processes to complete. We will notify you of the estimated timescale according to your specific design. It is your responsibility to ensure that payments are made and proofs approved in good time for your own deadline. You will be notified of any delays to printing and all effort will be made to maintain this timescale.

Bespoke orders

Normal Terms and Conditions apply, in addition to the following:

Prices are on application for Bespoke stationery. Please contact White Flamingo to discuss your requirements. The booking is confirmed upon receipt of the Bespoke Design Fee. Our Bespoke Design Fee covers the following:

Initial consultation
Regular email contact
Initial custom sketches
Custom artwork
Custom design work
Up to 3 initial proofs
1 paper sample
2 further amendments if necessary
Choice of coloured envelopes
Free postage

If the client wishes to use a venue illustration that has already been produced by White Flamingo there will be a small discount with this.

If the client wishes to commission additional artwork, for the table plan, for example, these will be charged separately.

If you wish to place a Bespoke order, you will be expected as the client to partake in a consultation process to share ideas and provide the necessary information to complete the order. You will be able to receive 3 digital proofs and one paper copy of your design. Following this, you may make two further adjustments to the design which will be shared digitally. Additional charges apply for extra design proofs outside of these arrangements.

By signing these Terms, you agree to give clear and concise feedback after each proof. We will continue to work with the client until a final design is reached, being charged according to the above guidelines.

Original artwork

White Flamingo is not able to provide the original artwork with an order. This is due to using all parts of the paper, front and back, and so this results in several clients work being on a single piece of paper.

If you wish to have the original paintings, please express this wish during the consultation process where we may be able to accommodate this for a small additional fee. Some designs will be painted separately and assembled digitally and so a single image that reflects your design may not be possible.

White Flamingo reserves the right to offer elements of your design to other clients wanting a bespoke service. No Bespoke design will be copied out rightly. Venue illustrations for bespoke commissions will be available to all couples getting married at that venue. A small discount to the Bespoke fee will be available to the client if they wish to use a previously created venue illustration.

White Flamingo reserve the right to turn any bespoke design not used in the final print for another couple.

White Flamingo will not recreate or use other artists work.

White Flamingo will not provide digital files to customers for their own reprint of stationery designs.

White Flamingo holds all copyright for designs. You are not allowed to copy or reproduce any of our designs in any way, either from the proofs provided or from the stationery itself.

It is your responsibility to obtain permission for any copyright material, for example hymns or poems that are to feature in your stationery.

If you request a modification to the House Collections, White Flamingo reserve the right to offer this design to future clients ensuring that your wedding or event has taken place.

GDPR & your design

White Flamingo reserve the right to display your wedding stationery at wedding fairs, on the website and for marketing purposes after your wedding or event has taken place. Please let us know if you do not wish us to do this.

At White Flamingo, your data is used solely for the purpose of creating your stationery. In signing the Proof Agreement Form you are consenting to White Flamingo’s use and storage of your data for up to 12months after your wedding. All data is wiped after 12months. Designs will be retained for future use at the discretion of White Flamingo. Please see the Privacy Policy for further information.

Cancellations, Returns & Refunds

As all stationery is personalised, all items are non-refundable.

Your deposit is non-refundable.

If you wish to cancel your order before the artwork has gone to print you will not be required to pay the remaining balance. You will, however, not have your deposit or the Bespoke design / Artwork fee returned.

Once you have approved the artwork and paid the balance, the sale becomes final.

We cannot accept returns due to any errors. It is your responsibility to ensure the wording/spellings on your stationery matches your requirements. By approving to your final proof, you accept responsibility for the information, wording and layout as shown. If errors are discovered once your stationery is sent to print, we are required to charge for a reprint.

All sales of bespoke stationery are final except where a product is damaged or faulty. If this is the case, you must notify us within 3 days of the receipt of the products. No claim can be made however without first having the items returned to us. We are reliant on Royal Mail’s and our couriers policies for missing parcels and may therefore need 15 days, as per Royal Mail’s & other couriers T’s & C’s in order for you to make a claim for any missing parcel.

If your wedding stationery is deemed to be fault on the part of White Flamingo we will be happy to correct or replace your stationery with the same or similar replacement, with agreement from you as the client. If the faulty part cannot be replaced, a refund will be offered for the amount paid for that part. A full refund will only be offered if it is deemed that the whole order is faulty in its entirety.

Postal delivery charges are non-refundable.

Availability of materials

Orders are subject to availability of materials. In the event of supply difficulties, White Flamingo will inform you immediately to discuss alternative materials or designs.

It is also of note, that some materials such as the silk ribbons, are hand painted by the supplier. For this reason, there may be colour variations between batches.

Printing variations

Please note, that due to difference in computer screens and the difference in the print production process, there may be minor differences in texture, colour, size and positioning of the printed product. This does not constitute as a fault and is not eligible for a refund.

For orders that are printed separately e.g. Day and Evening invitations, there is always a possibility of colour variation or print discrepancy between prints. Whilst we would always endeavour to get an exact colour match, please be aware that there is a possibility that items may not be identical in respect of colour and print quality. This also applies to differences between digital samples and final printed items. If you have specific requirements regarding colours etc then it is recommended that a sample is purchased to confirm the design fully.

Payment for colour discrepancies will not be refunded.

Delivery

Delivery of House Collections is charged according the size of the order. Orders are dispatched with Royal Mail First Class recorded delivery, requiring a signature.

Delivery of Bespoke orders is included in the fee and will also be posted using a Royal Mail First Class recorded delivery, requiring a signature.

Please ensure that the delivery details are checked carefully and that there will be someone available to receive the order and sign for it. We accept no responsibility for items lots in the post or delayed due to events out of our control.

International delivery is available with prices upon request.

Your postage costs

As some of our stationery is embellished and hand finished, you may need to use more than one first class stamp when posting your order.

White Flamingo will not be held responsible for any costs incurred through errors in postage of your stationery. White Flamingo will not be responsible for any damage to your invitations when posting them to your guests.

Illness & injury

If White Flamingo is unable to fulfil their obligations due to injury or illness, the client will be informed immediately, and each issue will be dealt with on a case by case basis.
